The room layout programmes the course of a meeting more strongly than many an agenda - it decides whether participants discuss, take notes or just listen. The choice between a horseshoe, theatre and classroom is not a matter of aesthetics but of the event's goal. Here is a short guide to the most important setups of a training and conference room, with the participant numbers behind them and tips on matching the layout to the meeting format.

Horseshoe: discussion and eye contact

The horseshoe layout works wherever interaction matters. All participants see one another, and the facilitator can step into the middle, which favours discussion and engagement. It is the ideal setup for strategy workshops, board sessions and interactive training - in Toscania's conference rooms up to about 60 people, and in the banquet hall even up to 100. The horseshoe builds a sense of community and makes moderating group conversation easier.

Theatre: maximum people, minimum interaction

The theatre layout, rows of chairs facing the stage, holds the most participants for a given area. At Toscania that means up to about 150 people in the conference rooms and up to 400 in the banquet hall. It is a format for lectures, presentations, plenary conferences and townhall-style meetings, where the message from the stage is key rather than discussion. When the priority is the number of participants and good visibility of the presentation, theatre is the obvious choice.

Classroom: notes and work at tables

The classroom setup, tables in rows facing the facilitator, gives participants room for laptops, materials and notes. It is the best choice for all-day training, courses and workshops requiring work at a table - depending on the room it holds from about 80 to 140 people. The comfort of writing and spreading out materials translates into learning efficiency. The classroom layout is worth combining with banquet for the evening, transforming the room after the training part ends.

Banquet and other special layouts

Beyond the three basic setups, it is worth knowing the banquet layout - round tables for groups - ideal for a gala, dinner or the evening part of an event. The cabaret setup also works, combining the advantages of classroom and banquet when training flows smoothly into a less formal part. The choice of a special layout depends on whether you plan networking after the content. A well-planned change of arrangement between day and evening raises the standing of the whole event.

How to match the layout to the meeting's goal

Start with the question of what is meant to happen: discussion, knowledge transfer or workshop work. Interaction and brainstorming is a horseshoe, a lecture for many people is theatre, all-day learning with note-taking is a classroom. The number of participants narrows the choice, but the goal should decide. It is also worth considering whether the format changes over the day - movable walls and flexible arrangement let you switch between layouts without moving the group to another room.
