Weddings at Hotel Toscania - how we work with you, step by step
From the first phone call to the last toast, one person guides you - no bouncing between departments, no repeating arrangements. This is what organising a wedding at Hotel Toscania looks like in practice. We explain step by step how the collaboration unfolds: from the first meeting and tour, through the menu tasting and planning of the day, to the wedding itself, where the coordinator watches over everything and you are guests at your own reception.
Meeting, tour and a provisional date
We start with a walk through the halls and garden and a conversation about your vision of the wedding - guest numbers, style of the reception and expectations. We check available dates and provisionally hold one, with no pressure and no commitments. It is the moment you experience the space in person and can ask every question. Seeing the ballroom and the moonlight hall side by side usually tells you right away which suits your plans better.
Booking the date and the contract
Once the date is chosen, we sign a contract that locks in the date, the menu rate and the key terms. A transparent contract is the foundation of a calm collaboration - you know exactly what the package includes and what the payment schedule looks like. From that moment the date is yours, and you can calmly assemble the rest of the team - photographer, music and florals - with a fixed point of reference in your preparation calendar.
Menu and tasting
The chef proposes a menu matched to the season and the character of the reception, and at the tasting you choose the dishes together, agree the options for guests with dietary needs, the cake and the sweet table from our patisserie. It is one of the most enjoyable meetings in the whole process - you make decisions with a fork in hand, trying specific proposals. The tasting gives you certainty that on the wedding day exactly what you enjoyed will land on the plates.
The day plan and the hall layout
Together we map out the schedule of the day, the layout of tables and dance floor, and the rules of working with your suppliers. We decide where the stage will stand, how to seat the guests and when to schedule each point of the programme. This stage turns loose ideas into a concrete plan that the staff executes on the wedding day. The better it is refined, the fewer questions and decisions fall on you when the day arrives.
The wedding day - the coordinator watches over everything
On the wedding day the coordinator keeps an eye on the schedule, deliveries, cooperation with the teams and the small matters that always come up. She resolves them before anyone even notices, so you do not have to remember a thing. This is the essence of our work: we want you to be guests at your own reception, not its managers. All the logistics are on our side - your role is to celebrate.
The day-after party and seeing off the guests
The collaboration does not end at midnight. If you plan a day-after party, the next day's breakfast flows into a barbecue in the garden, and guests who stayed at the hotel have everything on site. We help finalise the second day as carefully as the first. Only after the last guests have been seen off and everyone has calmly checked out do we consider our work done - and your wedding truly complete.
